Meeting October 22, 2013
Minutes

Present:  Chairperson Barbara Swartz, Sam Fiore, Mary Ellen Halliwell, Marcia Lambert, Lisa Lyons, Bev Moustakis, Barbara Sirois, Sandra Power, Judith Wolfe       Absent:  Ellen Talkowsky   Visitor:  Timothy Jenkins, former Chairperson of the Committee

Meeting was called to order at 7:00

1.  Approval of the Minutes:  The Minutes of the meeting of September 24, 2013 were approved as written.

2.  Reminders and Announcements:   It was noted that the decorated pumpkins had been installed in the assigned trailer on the Commons.  Winners were to be selected and prize money would be furnished by the sponsor, Fiesta Shows.

3.  Lady of Salem – 2014 planning session:  It was noted that this is the third year of the project which has grown every year.   The “Ladies” are displayed from June to October.  They were installed the week of June 6th for the Summer Arts Festival and will be taken down on or about October 24th.  They will be up for the Biz Bar Open Market.  The project depends on grants.  It is hoped to add ten or more new figures.  Sponsors are required to commit to the project by December first.

Following the election season it is planned that Elaine Milo will provide a workshop on the project.  Sources of Grants and fund raising possibilities were identified.  The need to find additional sponsors for the “Ladies’ project was discussed.  Committee members volunteered to contact various local businesses to encourage additional sponsorships.
  
 It was reported that the undecorated figures are physically available by April 1st. The artists work on the figures and backboards during April and May.  The work is to be completed by May 5th.

  The 2014 “Ladies” events calendar for 2014 will include:
 June – Participation in the Salem Arts Festival and by establishing an information table
at the Farmers Market.   

July 4th – A “Ladies” art coloring project for kids with prizes, plus the offering of a
“photo opt” opportunity for those who wish have her or his face complete a life size
cutout representation of one of the “Ladies” for the cost of one dollar. In addition
information about the “Ladies” is to be available at the Visitor’s center and on the visitor
Trolleys.  Also there will be a presence on the Garden Club stroll.

        August – For the Heritage Days weekend, the Kids “Ladies” coloring activity and the
        ”Ladies”  Photo Opt activity will be available as will an information table at the
         Pedestrian Mall

        September – The Trails and Sails (two weekends) will offer the Kids figure coloring
        activity plus and the “Ladies” Photo Opt opportunity plus tours of the displayed “Ladies.”

Additional project promotional activities and materials discussion included: redesigning the rack promotional flyers, creating a new pamphlet, increasing visibility through local newspapers article, Salem Patch, our website, Facebook, Yelp etc.   “Hits” and “likes” were noted. Sources for increasing project publicity were identified and will be utilized.

Financing –   Costs including the cost of the “Ladies” figures, the backboards, artists’ costs, installation and dismount costs, maintenance fees, website costs, event registration fees  plus various project publicity and publication costs were discussed.  Sources of income from sponsorship fees, grants, the “photo opt” fees were detailed.  


A Motion to adjourn was proposed and allowed.  The meeting adjourned at 9:00 P.M.
